Ceremony start, reception entrance, flight arrival and venue closing times are harder deadlines. Build the flexible parts of the schedule around them.

Use direct transfers when a vehicle only needs to move passengers once. Consider hourly service when the same vehicle must remain available between several stops. Use shuttles when groups share predictable pickup points.

Driving time is only part of the schedule. Add boarding time and reasonable margin for traffic, formal clothing, photographs and venue access.

Choose one transportation coordinator, provide passengers with pickup instructions and keep provider confirmations available. Changes should go through the coordinator whenever possible.

The reception is not the end of transportation planning. Identify how the couple, wedding party, hotel guests and family members return after the event.

Maximum seat count is not always ideal for formal clothing or longer drives. A wedding party may prefer additional room, while a short hotel shuttle can use capacity more efficiently. Decide whether the goal is maximum seats or a more comfortable event experience.

A few days before the wedding, create one final schedule containing vehicle roles, pickup times, addresses, passenger groups, provider contacts and any special notes. Give the complete version to the coordinator and shorter relevant instructions to each passenger group.
After the wedding, check outstanding trips
For multi-day weddings, transportation may continue after the reception through hotel checkouts and airport departures. Keep the guest travel list active until the last scheduled transfer is complete.
